MAILINGS

Distribution of the publicity brochure is very important. Some sources of mailing labels or addresses are:

Be sure to obtain the right type of labels (Cheshire, Pressure-sensitive, etc.). ACM can give you advice on this selection. Also, your mailing house should help you to make the best selection, price-wise.

You should take out a bulk-mailing permit for your mailings. Be sure to request one for a non-profit organization. The application to the U.S. Postal Service must be made in the name of the Association. You should include a copy of the Chapter's bylaws, and copies of the IRS tax exemption ruling. If you renew your permit every year, your tax exempt certification will remain in place. If the permit expires, you will be required to re-certify the tax exempt status again, but the initial certification simplifies the process. Make sure you keep all the records with the local Chapter.

If you use a bulk-mailing permit, the brochure (or other material to be mailed) must be presented to the Post Office in zip code order, in batches of at least 200 pieces each. ACM and most other organizations can furnish address labels of within a specified range of zip codes, ordered as required by the U.S. Postal Service.
