  Policies and Procedures for a TMP (Technical Meeting Profile)/TMRF (Technical Meeting Report Form):

ACM appreciates the work you are doing to plan and conduct your ACM chapter's technical meeting. We would like to help you make it a success. ACM offers many ways to assist, such as:

  • Publicity in ACM publications, MemberNet, ACM's newsletter (mn-editor@acm.org)
  • Access to ACM electronic mailing lists.
  • Professional meeting planners on staff to help with:
    • Advice on facilities, operations, and logistics
    • Budget review, to make sure you've thought of everything
To help you get the available assistance from ACM, we have developed a simple form called the Technical Meeting Profile (TMP). You submit this profile at the planning stage of your local event and ACM responds with assistance!

The attached TMP should be submitted as soon as initial planning of any event, other than a regular chapter meeting, begins. These events include PDSs, seminars, workshops, tutorials, symposia, and conferences. In addition, you may use the form for joint chapter meetings, special ACM lecturers, end-of-the-year special events, or any other special meeting you would like publicized on the Conference Calendar (Web) for which you would like the benefit of professional review and guidance.

The web page includes information for the calendar--name, place, date(s), and sponsors of the event--along with a summary of the technical program and contact information for the event's organizers. Depending on the size and scope of the event, it may be published in the Calendar of Events in the Communications of the ACM as well. ALL THIS PUBLICITY WILL BE DONE FOR YOU WHEN THE TMP IS RECEIVED AT ACM HEADQUARTERS!

Important: the information requested on the TMP allows us to determine whether or not additional information or approval may be required. If it is, you may receive a TMRF to complete. Please note that the majority of events (PDSs, joint chapter meetings, most workshops, etc.) will not require any additional information or approvals. The Local Activities Coordinator and ACM HQ staff may request additional information about your meeting (though a TMRF may not be required) if we determine that ACM's exposure and risk are sizable, or that the scope of your event suggests that HQ assistance and advice will help minimize your risk.

If a TMRF is required for your event, one will be sent to you. The TMRF will request only the information which applies to your meeting; the form and instructions have been revised to be as painless and easy to complete as possible.

Please note the following:
1) For large events, the TMRF should be completed at least nine months in advance of the event or as soon as possible if you are already past this time frame. This means that the TMP should be submitted even earlier.

2) Any drafts of calls for papers, facility contracts, or other tentative agreements should be submitted along with the TMP.

3) Contracts may not be signed until you have submitted the TMP and have received and approved of your conference. Tentative commitments may be made, but with a clear understanding that the agreement is contingent upon receiving this acknowledgement and approval. Until a technical meeting is acknowledged, ACM has no legal or financial responsibility for the arrangements.
